To provide an opportunity to reflect on the implementation at your school and make it easier to convey achievements, reflections, and challenges to future generations. 3. To confirm the popular aspects of Miley PTA and areas requiring improvement (feel free to share anything) and use them for future improvements.

Thank you very much for gathering despite your busy schedules. We have exchanged messages several times regarding requests and bug fixes, but I would like to interview you formally once again.

School Information

School Characteristics

Miley
First, could you tell us about your school? What kind of characteristics does your school have?
A
There are many single-mother households in this area.
A
In a nearby park, there used to be a building related to organized crime, but it was demolished last year. I heard there was violence and dangerous incidents, so there was a patrol duty at that time.

However, that has been resolved now.
I
There are currently 455 students and 36 teachers.
Miley
Did you have disaster prevention lectures or similar activities?
I
We used to have them, but they were canceled last year due to COVID-19. We would like to do them again.

Most activities have been restricted due to COVID-19.

PTA Organization and Activities

Miley
Could you tell us about your PTA organization?
I
Our PTA is a compact organization with 9 officers: 1 president, 2 vice presidents, 2 secretaries, 2 treasurers, and 2 advisors. This year, due to COVID-19 impact, we have postponed selecting class representatives and are operating with just the officers.
Miley
So you operate mainly with officers and some board members?
I
Yes, that's correct.
Miley
What activities did you have originally?

Relationship Between Teachers and PTA

Miley
What is your relationship with the teachers like?
M
How are PTA membership fees collected? Do you handle that yourselves?
I
We don't collect them ourselves; they are collected together with school expenses. The school transfers the PTA membership fees from the school fees account to the PTA account.
Miley
I see, so the school collects PTA membership fees along with school expenses.
I
There's a procedure to do.
A
For example, when we donated a school timer, I needed a document to request it. I drafted a letter and asked the school to check it, but there were many corrections.
I
If there were a collection function... For example, if you could collect 100 yen per person, that would be nice...
Miley
Unfortunately, I can't handle money... However, I might be able to let you know who has submitted it.

That would be enough.
Miley
Are the PTA newsletters you issue checked by the school?
A
They are checked by the school before distribution.
I
The check is quite thorough.
M
They check even punctuation marks.
Miley
Do you have your own channel for distributing information?
A
Actually, there was a time when they wanted to change the school route because that organized crime building was demolished. The city made the decision, but the school checked the proposed route change for safety and PTA supported it.

Now the school route has changed and children pass through that park.

If we could quickly share such school route information or safety information digitally, it would be helpful. That's the main purpose of implementing Miley. (laughs)

Background of Implementation

How Did You Learn About Miley PTA?

Miley
Once again, could you please tell us about the characteristics of N Elementary School?
I
Since this is an area with many single mothers, the participation rate for patrol duties is low, and elderly people help with the supervision.
Miley
How many students are there?

There are 455 students and 36 teachers who are PTA members.
Miley
Are there any unique events or activities?
M
Last month, we had planned to have disaster prevention officials from the city come to visit the regional disaster storage facility at the school and conduct a disaster prevention workshop... but it was canceled due to COVID.
M
Even now, we can hardly conduct any activities due to COVID. We wanted to use Miley for various things, but we haven't been able to use it much.
Miley
In that case, I will proceed while sharing stories from other schools as well.

Did You Compare with Other Companies?

Miley
Before implementing Miley, did you compare it with other company tools?
M
We considered Mimamoru Me, LINE Works, and kintone.
A
Mimamoru Me is used by schools in the city, but we were told PTA couldn't use it.
M
At that time, we were told PTA couldn't use it, but later we heard that it could be used depending on the purpose. Since it's a contract between each school and Mimamoru Me, not all schools have the same contract... We ended up not understanding it well.
M
So we decided to find a tool PTA could use, and we found Miley.
Miley
Those names often come up in tool comparisons, but kintone requires a certain level of PC skills to use effectively, and it's quite expensive.

What Made You Choose Miley?

Miley
What was the deciding factor in choosing Miley? The low cost is often mentioned.
M
Indeed, the price was completely different when we compared. Also, I thought it was simple and easy to understand.
M
Executive members aren't very strong with digital tools, so I thought even such members could use it.
M
We wanted to use "volunteer recruitment" and "announcements," and it's enough if we can use those. Having too many features wouldn't help since we couldn't master them.
M
It seemed suitable for what we wanted to use it for, and the price was low. Also, Mr. Goda's support was good. (laughs)
Miley
Thank you. (laughs) I don't get praised often, so I'm happy.

What Were the Challenges Before Implementation?

Miley
What challenges did you have before implementing Miley? For example, the hassle and cost of paper, or having to go to school to print.
M
We wanted to shift to a volunteer system. But we thought it would be impossible to do with paper - sending out volunteer recruitment content on paper, collecting it on paper, and subsequent exchanges would all be paper-based.
M
When we were looking for tools, Ms. A found Miley. It had survey and recruitment functions, so we decided to try using it.
Miley
Paper really has its limits. Distributing and collecting it takes even more effort.

Effects of Switching from Paper to Miley

Miley
Were there any issues with paper costs? A school I interviewed earlier saved 150,000 yen per year on paper costs, so even after deducting Miley's usage fee, they came out quite ahead.

Previously, we had the PR team create newsletters about three times a year, once per semester.
A
We budgeted about 50,000 yen per newsletter distribution. (About 150,000 yen annually) Due to COVID's impact, we couldn't send newsletters either, so we discussed that it would be okay to register with Miley.
Miley
Reducing paper with Miley seems to have cost benefits too.

About Miley Features

You Can Also Use Scheduling Feature

Miley
One school in Osaka had to assign about 70 slots combining districts and time periods for patrol duty, and we handled it with Miley's "scheduling feature."
M
That's a lot of slots. For example, what happens if people concentrate on one slot?
Miley
You can set a maximum number of people for each slot, so once the limit is reached, that slot becomes unselectable and distributes people nicely.
M
So if you can select that slot, it's confirmed. What about exchanges after it's decided?
Miley
We create a chat room for people who selected each slot, so they can exchange information about arrangements. The "scheduling feature" has become almost specialized for assigning flag duty and patrol duty. (laughs)
M
If parents have questions before deciding with the "scheduling feature," where are they received?
Miley
On the "School Information" page, there's a function called "Contact Administrator."
Miley
When you press the "Contact Administrator" button, you can enter and send your inquiry, and the administrator receives a notification. You can also create a chat room to continue the exchange based on the inquiry content.
Miley
In the administrator menu, you can toggle "Contact Administrator" ON/OFF. If you set it to ON, you can receive questions from parents.
M
So administrators receive content from questioners, and if it needs to be shared with everyone, send an announcement - is that how it works?
Miley
Yes, that's how it's used.
M
Can't we have a bulletin board where everyone can post?
Miley
There's currently no bulletin board-like function. Even if we made one, it could get messy, so I don't think people would use it.
Miley
Another function for receiving inquiries is "Contact School," but if the school doesn't use it, you can change the name to "Contact PTA" and use it.

That would be good.
M
Even when parents want to ask questions, there are those who "don't know where to contact."
M
If it's something the school issued, they should contact the school, but for PTA-issued items, they don't know where to inquire, so contacts come to the school, and PTA has to respond by letter.
M
For example, if there's a question like "When will gate duty resume?" we couldn't convey "Actually, it's been postponed" until we issued a letter.
M
We sometimes couldn't identify who the questioner was, so we didn't know where to send the letter. If we use it as "Contact PTA," we'd know who's contacting the PTA.
Miley
Receiving contacts by changing "Contact School" to "Contact PTA" is easy. However, since it's mainly made for absence notifications, you can't reply or exchange messages.
Miley
Using "Contact Administrator" lets you exchange in a chat room, so I think this would be better for two-way communication.
M
When creating a chat room with "Contact Administrator," do you need to invite people to the chat room?
Miley
In this case, we skip the step of inviting to the chat room and having them press the join button, and the chat room exchange starts immediately.
Miley
Also, we recently made a feature called "Direct Message." Administrators can skip chat room invitations and create chat rooms with specific members to exchange messages.
M
I think the app gets updated various times, but will people who don't update the app be unable to use it?
Miley
Not every time, but about a week after distributing an app with major feature additions, if you don't update the app to the latest version, you can't connect to the server. If you try to use an old version of the app, the server returns an error, so you need to move to the AppStore or GooglePlay to update the app.
Miley
Generally, within about 3 days of distributing a new app version, most smartphone users' apps are automatically updated by iPhone or Android OS functions.
Miley
Recently, schools have finally started using it more, and in one city, elementary and junior high schools are now using it in combination.
Miley
It's a case where an elementary school implements Miley, and the junior high school where many children from that elementary school advance also uses it. Miley was made anticipating such cases, so I'm happy it's finally being used as intended.
M
Is the city promoting schools to implement it?
Miley
It's not city-wide implementation; the email service used in that city was going to increase in price significantly. So each school is searching for alternative tools, and they're choosing Miley.
M
If schools use it, things would change dramatically. If teachers recommend it to parents, trust would increase significantly and more people would use it.

What Difficulties Did You Face During Implementation?

Miley
Within your existing organization and committees, were there any difficulties or challenges when implementing Miley?
A
We haven't selected class representatives this year, so rather than moving organizationally, people who have something to announce are announcing.
A
For the gate supervision we did for a while, the vice president recruited volunteers. The other day, Ms. I created and sent an announcement with photos of dodgeballs purchased with Bell Marks.

After Implementation

Were Pre-Implementation Challenges Resolved?

Miley
Have the things you originally wanted to do and the challenges you wanted to solve been resolved?
M
I think they have been resolved. Though we haven't been able to do much of what we wanted due to COVID's impact.
I
Since we couldn't proceed with activities as we wanted due to COVID, I don't think we've mastered Miley as we had hoped.

How About Other Schools?

I
I'd like to increase registrations a bit more, so could you tell me how other schools are getting people to register with Miley?
Miley
There are two main patterns. Common among male PTA presidents is issuing an announcement to all parents saying "We will use Miley from now on" and prompting all parents to register at once.
Miley
Another pattern, which I think is more common, is starting with just officers, expanding to class representatives, and then to all parents.
Miley
I asked a school that registered all parents immediately, and they consulted with the school to issue a notice saying "Both school and PTA will use Miley."
M
It would be easier if the school uses it too.
Miley
That's right. Since absence notifications to school also started using Miley, all parents joined at once.
M
If schools use Miley for absence notifications, registrations would definitely increase.
Miley
Indeed. When it's an application from the school, or when schools use Miley together with PTA, the expansion is very fast.
I
It depends on the administrators. In the current situation, it seems difficult... Miley registrations are also stagnating.
Miley
It was a case where the email service increased in price and the school was in trouble, so I think the school was proactive.

Are School and PTA Using Different Tools?

M
At N Elementary School, the school uses Mimamoru Me, but are there many cases where schools and PTAs use different tools?
Miley
From what I've heard, in many cases schools use email distribution while PTAs use Miley. The reason PTA uses a different tool is that schools don't let PTAs use their email distribution.
M
That's a similar situation.
M
Where PTAs only use Miley, are there many Miley registrations?
Miley
Generally within six months of implementation, almost all households are registered.
M
How are they doing it?
Miley
I heard they send out newsletters and conduct surveys. When you take surveys, there will always be some opposition, but since the majority agrees, they decided on implementation by majority rule.
M
So they make a firm decision?
Miley
They held briefing sessions in advance and sent newsletters, then took a survey and issued a notice that it was decided by majority. After the decision, even those who opposed are using it. Perhaps the reasons for opposition weren't that strong.
A
We held a briefing at the general meeting and voted on Miley implementation in writing, but we couldn't do face-to-face explanations and only sent letters. I thought it would be good to explain verbally or answer questions, but we couldn't do that due to COVID.
A
The only time I could explain verbally was at the enrollment briefing for new first-graders entering in April last week. During PTA explanation time, I explained "We'll be sharing information using Miley since we won't have much time for activities, so please register."

We'll continue holding briefings every year and see how much registrations increase.

To Increase Users

Miley
I think sharing useful information for parents will increase subscriptions. I've heard stories like "Parents were pleased when we timely shared school route safety information."
A
Being able to communicate timely is good. Like parents being able to share information about suspicious persons or missing person sightings with each other.
A
When we had class representatives, we used to do district patrols at the beginning of the new year. It would be nice to do that through chat. We used to do it by phone.
Miley
Right. I think it would be good to quickly share information like suspicious person sightings.
Miley
Have there been any other improvements?
A
We did sports day supervision volunteer recruitment. Parents who participated said "It was good to participate since I don't usually get involved in school matters."
A
If activities increase and more people participate in volunteering through Miley, they might feel it was good to use or became more convenient.

There Was a Reduction Effect on Personal Information

Miley
I've heard that items containing personal information have decreased. Some schools eliminated emergency contact networks, and parents couldn't contact each other, but they became connected through Miley.
Miley
With Miley, you can contact each other within the app without knowing phone numbers or email addresses, so even without emergency contact networks, they're managing.
M
It was good that gate duty members could exchange information via chat. It was useful to be connected without calling the school or someone.

Real Names or Handles for Profile Names?

As I mentioned earlier, among parents who applied for sports day supervision volunteer recruitment, someone had set their Miley profile name to a handle-like name. I was nervous not knowing who was coming until we actually met.
A
What do other schools do for profile name registration?
A
Class rosters have disappeared at N Elementary School too, so I don't know the names of my child's classmates. I wish I could at least know surnames through Miley profile registration.
Miley
It varies by school, but I think the mainstream is having parents register with real names and properly enter phonetic readings. Also, many have children's names entered in tags.
A
I did write in the letter to register with real names...
Miley
Since some people inevitably don't enter properly, officers and class representatives follow up to ensure each class's parents enter properly.
I
What do you do after checking?
Miley
After checking, we use Direct Message to contact parents individually via chat and request registration information corrections. It's also okay to send an announcement several times asking to properly enter profile names.
I
So you can use Direct Message to request corrections for people with handle names as profile names.
Miley
For group settings, administrators can also set them in the administrator menu.
I
Currently there are no class rosters at school, so there's no way to check who's in which class. The only way to know classmates is to ask children.
I
To get rosters from school, I think we'd need to exchange some personal information protection contract, but we haven't done that at N Elementary School.
I
That's why we want Miley registration names not to be handles. Once during volunteer recruitment, someone's profile name was "N Elementary School"... They just entered it wrong apparently.

What About Year Transitions?

M
Since there will be new classes in April this year, we need to ask everyone to change their group settings, right?
Miley
First, you need to send a Miley announcement asking people to "Please change your group settings." I think most people will change their group settings after seeing the announcement. Please also refer to the explanation page on the website.
Miley
Some people won't do it, but you can change group settings for the remaining minority in the administrator menu.
Miley
Another method is to change "Grade 1 Class 1" group name to "Former Grade 1 Class 1" or "2021 Academic Year Grade 1 Class 1" and create a new "Grade 1 Class 1." Then people in the wrong class won't receive Grade 1 Class 1 notifications, so they'll think "huh?" and change to the new group.
Miley
Finally, after allowing time for migration, delete the "Former Grade 1 Class 1" group.
I
When you delete a group, what happens to the people registered in that group?
Miley
One affiliated group just disappears from those people's profile information. There are no other adverse effects.
I
Can any administrator delete groups?
Miley
Yes. However, when making changes to shared information like creating or deleting groups, a log is kept in "History." "History" is at the bottom of the administrator menu and records who did what.

Other Changes or Difficulties After Implementation

People seem to think it's become a volunteer recruitment tool, thinking "It's probably another volunteer recruitment anyway."
Miley
I see, so they feel it's all take and no give.
A
It would be good to have activities or more things to announce... But we really can't do activities now...

Activity Status at Other Schools During COVID

M
In this COVID situation, can PTAs at other schools conduct activities?
Miley
From what I've heard, activities are still restricted at many places. I've heard cases like "Someone didn't know where to collect aluminum cans, so we sent an announcement with photos" or "We timely shared school route danger information."
Miley
Also, I heard they're conducting various surveys. They take surveys, discuss with PTA and school, and share results and meeting minutes with everyone via Miley.
Miley
By sharing meeting minutes, individual parent inquiries to schools decreased and people became more cooperative with PTA.
M
So transparency becomes important.
Miley
Right. I think everyone is frustrated due to COVID, so collecting opinions through surveys and consulting with schools might be possible.
Miley
Then it would be good to share meeting minutes.

Listening to requests is important.
M
Before the disaster prevention workshop we want to hold, it would be good to collect via survey "things you want us to ask" from those who can't attend.

About Officer Succession

Miley
I think you officers have terms, so how will succession work in the future?
Miley
Since activities have been difficult due to COVID and succession hasn't happened properly, that's why Ms. I became an advisor after being an officer, right?
I
Eventually I was thinking of abolishing board members and moving to a volunteer system, but the administrators didn't approve. Due to COVID's impact, activities decreased, so we decided to try the volunteer system for one year to see how it goes, but there were too few activities to properly verify the volunteer system, so it seems we need another year of verification.
I
Or rather than succession, during the volunteer system verification period, officers will change, and I'm worried everyone will be people without activity experience.
Miley
How to succeed... it's difficult.
I
I don't think we need to succeed everything we used to do, but things like how to run "general meetings," and reception for guests at "sports days," "entrance ceremonies," and "graduation ceremonies" are hard to convey in writing.
I
I'm wondering how to succeed things that need to be taught while actually doing them. Last year we held events without guests too, so we couldn't have people experience it.
Miley
So you have materials but need to experience it to succeed.
I
They're small or simple things, but there are many things you can't understand without experience.
Miley
It's difficult to convey in documents and there's no opportunity to experience due to COVID.
I
I think it's a problem every school faces.
Miley
Wherever I ask, no one has a clear answer about succession, so it's a difficult problem.

Succession Through Video?

Miley
There's an interesting succession practice at one school - they keep video records. They record what preparations were made for events and activities, post on YouTube, and have people watch during succession.
M
Keeping video records would be convenient. I don't know how to use YouTube well... Can you password lock it?
Miley
Even when posting videos on YouTube, you can set them to "private," so I think it's possible to create a YouTube channel with a PTA account and have only related people watch.

No Issues with Data Storage?

Miley
Are you having trouble managing documents and files? One place I visited had a legendary USB memory containing all past documents, and they'd be in trouble if they lost it. We have them use Miley's "File Storage."
M
We have a large amount of document files. What's the capacity of file storage?
Miley
Miley's file storage is 100MB standard. It's hard to explain how many files 100MB holds, but smartphone photos are about 2-5MB, so about 20-50 smartphone photos.
Miley
For PDF files with just text and no images, it's about 200KB (1/5 MB), so about 500 files. PDFs with images are several MB, so about 20 files.
M
I wish I could photograph all past letters and store them in file storage.
Miley
By purchasing additional options, you can increase to 2GB or 5GB, so you can store almost all data. Other services have account or device restrictions, but Miley has no restrictions.

If we can store everything in Miley's file storage, we might not need to go to the PTA room.
M
If we increase capacity, can we attach and send video files in announcements?
Miley
Video files get large - tens to hundreds of MB - so attaching and sending is difficult. On the receiving end, if using smartphone data, unless they have unlimited data, it would greatly reduce their data allowance.
Miley
Attaching large files is difficult, so Miley also has file size restrictions. If you want to send videos in announcements, you'd attach a URL link to video files on YouTube or Google Drive in the announcement with a note like "This is a video, so please watch where WiFi is available."

Want to Change Sender Name

When sending via Miley, the sender's name is displayed, but couldn't it be changed to names like "PTA Executive Board"? I think it would be nice if we could change anyone's name to "PTA Executive Board."
Miley
Currently, you can't.
M
If we could do that, it might be easier to send. After all, having personal names displayed makes some people nervous.
M
I think people will feel the same way during future transitions.
Miley
Understood. I'm worried it might become unclear "who sent this?" but I'll consider making sender names changeable.

Notification Sound Not Ringing?

M
About Miley's notification sound, some people don't notice notifications - could the sound be changed?
Miley
Miley doesn't use original notification sounds; it uses smartphone default notification sounds. We sometimes get inquiries about notification sounds not ringing, but often the smartphone is set to silent mode.
Miley
We're also considering creating an original Miley notification sound.

Want to Use Accounting Feature

A
Someone who isn't here, in their second year as treasurer, said they want to try using Miley's accounting feature but don't understand how to use it.
A
If they understand how to use it, they want to use Miley's accounting feature. Many households don't have PCs recently, so it would be nice if accounting and settlements could be done just with smartphones using Miley's accounting feature.
Miley
I'll add explanations to make the accounting feature easier to understand.

Even now we do accounting on paper, so it would be easier if Miley could automatically calculate.

Want to Succeed Miley Usage Too

Is there something like a Q&A for how to use Miley? I think we need to succeed Miley usage itself, so it would be nice to have a page we can view.
Miley
There's an FAQ page on the website, but there aren't many detailed explanations or usage instructions. I'll consider creating easy-to-understand guidebook-style materials.
