Permission Differences

See below for administrator permissions and the effects of the staff flag settings.

What administrators can do

Show administrator-only items in the MENU

  • Administrator menu
  • User management
  • Accounting
  • If Storage menu display is turned OFF in Feature Usage Settings in the administrator menu, Storage will be shown only to administrators.

Edit groups

  • Even if group management is turned OFF in Feature Usage Settings in the administrator menu, group management is available in the profile edit screen's group change view.

Contact to School

  • Even if new postings for Contact to School are turned OFF in the administrator menu settings, administrators can still create new posts.

Storage

  • Create and view administrator-only folders.
  • The following actions are available to creators and administrators:
    • Rename folders
    • Delete folders
    • Rename or delete files
    • Rename or delete subfolders

Info

  • Unpin pinned posts.
  • Even if new Info postings are turned OFF in Feature Usage Settings in the administrator menu, administrators can still create new posts.
  • Use filters to display scheduled posts; administrators can view all scheduled posts, including those by others.
  • When creating a post, you can select the target range “Everyone”.
  • You can select groups such as “Administrators only” or “Administrators and staff only” as the target range.
"Posting info members" can create posts even if new Info postings are turned OFF in Feature Usage Settings.

The following functions are available to administrators and "Posting info members" with the same permissions:

  • Edit posts, set reminders, delete posts
  • Recruitment
    • Even if recruitment posts are set to “anonymous”, administrators and the poster can see applicant profile names.
    • Create chat rooms for applicants
    • Close recruitment responses
  • Surveys
    • Display respondents' comments
  • Coordination
    • Display applicants' responses
    • Create a chat room for applicants per item
    • Close response acceptance for coordination
  • Safety confirmation
    • Display response contents
    • Show list of users who have not responded
  • Voting
    • Search voting respondents
    • Display respondents' comments
  • Forms
    • Choice-type (single or multiple choice) fields can be shown even if set to private. Free-text responses can be checked in the aggregated CSV results.
  • Aggregation of results for coordination, surveys, voting, recruitment, safety confirmation, and forms

Inquiry

  • Administrators differ completely from other users; administrators can receive and list inquiries.
  • Create chat rooms to respond to inquiries.
  • Delete inquiries.

Chat

  • Even if new chat room creation is turned OFF in Feature Usage Settings in the administrator menu, administrators can still create new rooms.
  • Direct messages can be selected.
  • When creating group-only chat rooms, all groups (excluding the staff-only group) can be selected.
  • The following functions are available to administrators and creators with the same permissions:
    • Change room name, translation settings, and anonymity settings
    • Even if anonymity is ON, room member names can be displayed.
    • Add or remove room members (cannot be changed for group-only rooms)
    • Delete rooms

Reservation

  • Even if new reservation creation is turned OFF in Feature Usage Settings in the administrator menu, administrators can still create new reservations.
  • Create and view administrator-only reservation items.
  • Set whether to receive push notifications when reservations are registered for reservation items.
  • The following functions are available to administrators and creators with the same permissions:
    • Edit or delete reservation items
    • View all reservations registered for a reservation item
    • Delete reservations from the All Reservations screen
    • Delete reservations

Event List

  • Even if new Event List creation is turned OFF in Feature Usage Settings in the administrator menu, administrators can still create new Event List entries.
  • You can select “Everyone” as the target range.
  • You can select groups such as “Administrators only” or “Administrators and staff only” as the target range.
  • The following functions are available to administrators and creators with the same permissions:
    • Edit or delete Event List posts

Functions available only to confirmers

  • The following functions are available in Contact to School:
    • Filter post lists
    • Move to the aggregation screen
    • Mark all as read
    • Confirm posts (press the confirm button to mark as confirmed)
    • Delete posts (confirmed posts can also be deleted)

Effects of the staff flag

  • Chat
    • 1-on-1 chat rooms between staff and parents cannot be created.
  • Group selection
    • Groups set to “Staff only” or “Administrators and staff only” can be selected.
  • Administrator menu
    • Search users with the staff flag ON and set staff flag ON/OFF.
  • In aggregated results such as surveys, show that the profile belongs to staff in profile displays.
